BASIC FUNCTION: The Administrative Assistant is responsible for providing clerical and administrative support to the Residence Director and all members of the staff.

Responsibilities Include:

  • Greeting tenants, visitors, and guests

  • Handling correspondence for the Director and other staff members

  • Tracking client data and assisting in preparing internal and external reports

  • Organizing paperwork in accessible filing systems

  • Ordering and distributing office supplies, ensuring that an adequate inventory is always available

  • Assisting with Tenant Money Management

  • Observing residents as they take their medication

  • Opening, sorting, logging and routing incoming mail

  • Receiving and directing all incoming phone calls

  • Maintaining mailing, telephone, and referral lists and printer, fax, and copier machines

  • Working cooperatively with staff at all levels to ensure quality service provision

  • Performing other duties as assigned


  • Associate‚Äôs Degree

  • A minimum of one year of prior experience as an Administrative Assistant

  • Strong written and verbal communication skills

  • Ability to manage time well

  • Extensive knowledge of Windows and Microsoft Word and Excel

  • Bi-lingual in Spanish preferred
